Epsilon Systems Solutions, Inc. is currently seeking contingent full time Administrative Manager IV in Port Hueneme, CA.
Job Summary: This position is required to possess working knowledge in administrative matters across various areas such as calendar management, personnel actions, awards, supply, financial, and timekeeping. Tasks involve gathering, developing, reviewing, and processing various requests from supported codes, packages, coordinating seating assignments, financial data and reports, managing supplies, facilitating onboarding procedures, providing guidance on ERP for Role Mapping, collaborating with management on developing and implementing employee development plans, and other administrative matters.

Pay Range:
The pay range for this role is $25-$45 Hourly. This is a reasonable estimate for this role. Individual salaries are determined by a variety of factors including, but not limited to: business considerations, local market conditions, and internal equity, as well as candidate qualifications, such as skills, education, and experience.

Duties and Responsibilities:
- Proofread documents and ensure accuracy and completeness of information and correct formatting in accordance with Navy correspondence or other applicable business rules.
- Create and maintain electronic and paper files, organize documents, and ensuring that information is accurate and up to date.
- Arrange, attend, and support meetings to include: (a) notification of attendees; (b) preparation, organization, and distribution of meeting materials, including but not limited to rosters, agendas, course materials, and other documentation. The contractor may be required to take meeting minutes and provide completed minutes, edited for clarity as determined appropriate by the Government, to meeting attendees.
- Assist in the management, planning and coordination of events including developing proposed itineraries, transportation requirements and lodging reservations.
- Support development and maintenance of instructions, policies, agreements, memorandums of agreement/understanding, and Standard Operating Procedures (SOP).
- Support the gathering and presentation of data in response to data requests (Data Calls) from internal and external stakeholders.
- Design and create presentation material and documents utilizing Microsoft Office or other presentation software tools.
- Support the development, conduct, and reporting of organizational and functional surveys and other assessments, and employee recognition and award documentation packages.
- Support records management and classification activities to ensure Government information is accurately handled, correctly sanitized, archived, digitized, and dispose of in accordance with governing policies and regulations.
- Support continuous process improvement, business transformation, strategic planning activities, to include documentation development, implementation, maintenance, and process improvement activities.
- Support Quality Management Program activities, to include documentation development, implementation, and maintenance.
- Provide administrative support for senior-level NSWC PHD personnel. This support often includes handling of more complex responsibilities, such as supporting strategic planning activities, reviewing incoming documents, conducting research, preparing reports, and other executive assistant or secretarial duties.
- Gather, analyze, and compile financial and other relevant data to interpret financial outcomes, create financial spreadsheets and reports utilizing government-provided data to effectively evaluate program operations and milestone, analyze these spreadsheets to identify significant trends and issues, create and execute Task Plan Sheets and Task Plans, monitor the funding status across various appropriation types, and will track and monitor new and modified funding documents.
Required Qualifications:
- Bachelor's degree in accounting, finance, economics or business Administration.
- 10 years of general experience providing secretarial duties and administrative support to executive staff with office management responsibilities to include budgeting, personnel records, payroll, preparation of briefings, filing, taking phone calls, scheduling appointments, and making travel arrangements.
- Must be proficient in MS Office.
- Ability to communicate effectively both verbally and in written formats.
- Ability to obtain and maintain a SECRET security clearance.
Preferred Qualifications:
- Prior U.S. Navy service.
Pay Range:
