Organization's Summary Statement:

The Executive Officer serves as the principal strategic and operational partner to the Executive Director. This role combines programmatic oversight with high-level executive support, ensuring that critical initiatives, cross-cutting projects, and organizational priorities are executed effectively and efficiently, while maintaining effective internal and external communications. Acting as a trusted advisor and proxy when needed, the Executive Officer handles a wide array of responsibilities that span special projects, administrative operations, stakeholder engagement, and institutional planning.
This position requires discretion, critical thinking, and an adaptive mindset. The Executive Officer must be adaptable, proactive, and results-oriented. The successful candidate will bring a balance of strategic foresight and operational excellence, contributing meaningfully to the success of ARLIS's mission and people.

Key Responsibilities:
Strategic and Executive Support
• Serve as the Executive Director’s chief aide and thought partner in advancing the mission, goals, and strategic initiatives of the organization.
• Lead and manage special projects and ad hoc initiatives that require high-level coordination, discretion, and cross-functional collaboration.
• Represent the Executive Director in meetings, communications, and decision-making processes as appropriate.
• Prepare executive-level communications, briefing materials, and reports.

Program Leadership and Oversight:
• Oversee the planning, implementation, and evaluation of selected programs and initiatives aligned with institutional goals.
• Monitor program outcomes, budgets, staffing, and timelines, ensuring accountability and alignment with organizational priorities.
• Serve as a liaison across internal teams and external partners to ensure programmatic success.

Operations and Organizational Management:
• Manage key administrative functions on behalf of the Executive Director, including priority tracking, agenda setting, and coordination of organizational workflows.
• Identify and address organizational bottlenecks, helping to streamline processes and improve operational efficiency.
• Support planning and logistics for leadership retreats, board meetings, and high-level convenings.

Stakeholder Engagement and Communications:
• Support and facilitate effective communication between the Executive Director’s office and internal/external stakeholders.
• Draft correspondence, reports, presentations, and proposals that reflect the Executive Director’s voice and intent.
• Cultivate relationships across the organization to enhance collaboration and resolve challenges proactively.

Must be able to obtain a U.S. security clearance. If selected, you must meet the requirements for access to classified information and will be subject to a government security clearance investigation that includes criminal and credit history checks, as well as verification of U.S. citizenship, birth, education, employment, and military history.

Physical Demands:
This role primarily involves sedentary work in an office environment, with occasional standing, walking, and travel. The Executive Officer must be able to communicate effectively, operate standard office equipment, and manage multiple priorities under time constraints.

Minimum Qualifications
Education: Master’s degree from an accredited college or university.

Experience: Ten (10) years of professional program management experience. Knowledge of business acumen to understand key business drivers, organizational communications, and data.
Knowledge of organizational and unit performances measures.
Knowledge of the impact and implications of decisions on leadership objectives.
Skill in oral and written communication.
Skill in data analytics and negotiation.
Skill in the use of Microsoft Office products.
Ability to research information and analyze/synthesize complex data and information to create reports and presentations with valid conclusions derived from various sources.
Ability to exercise independent judgment and discretion.
Ability to develop and administer new policies and procedures.
Ability to interpret and apply policies, procedures, regulations, and laws.
Additional Job Details

• Experience in a government, defense, or intelligence-related organization.
