ARS is seeking a detail-oriented and technically skilled Proposal Coordinator to support our Proposal team in Dayton, OH. The ideal candidate will provide administrative and technical assistance throughout the proposal development process, ensuring compliance with corporate standards and customer requirements. This role requires expertise in Microsoft Office 365 (Word, Outlook, Excel, PowerPoint, and Teams), Adobe PDF tools, and basic SharePoint site management.

Responsibilities:
- Document Preparation and Formatting:
- Format Word files, including headings, subheadings, page numbering, table alignment, and other elements.
- Convert files to PDF format while maintaining content and formatting integrity.
- Ensure graphic resolution is preserved when transitioning images from Adobe Illustrator to Word.
- Review documents for consistency, clarity, and adherence to formatting standards.
- Production and Quality Control:
- Manage production and maintain quality control for all proposal documents.
- Develop and maintain Word and PowerPoint template library.
- Ensure compliance with corporate style guide, branding guidelines, departmental procedures, and customer instructions.
- Proposal Process Administration:
- Document and support the proposal management plan.
- Ensure process deliverables are completed on time by the proposal team.
- Facilitate expectation management and escalate issues to lead proposal managers and capture managers.
- SharePoint Management:
- Oversee the proposal SharePoint site, ensuring updates, amendments, and modifications are communicated and archived properly.
- Implement and maintain SharePoint workflows, document libraries, and collaboration tools.
- Collaboration and Communication:
- Work closely with team members to gather necessary information and ensure document accuracy.
- Assist with communication and meeting coordination with internal and external teams throughout the proposal development lifecycle.
- Assist in the creation of kick-off and color review materials.
- Other Duties:
- Manage multiple projects simultaneously and meet deadlines.
- Perform other duties as assigned.
Qualifications:
- Must be a US citizen
- Proficiency in Microsoft Word, including advanced formatting and templating skills.
- Experience with Microsoft Outlook, Teams, PowerPoint, and Excel.
- Experience with Adobe PDF tools for editing, converting, and ensuring content integrity.
- Intermediate knowledge of SharePoint site management, including page editing, content updates, and workflow implementation.
- Strong attention to detail and organizational skills.
- Ability to manage multiple projects and meet deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
Preferred Qualifications:
- Familiarity with Adobe Illustrator for graphic resolution management.
- Experience in proposal development or a similar administrative role.
- Knowledge of corporate branding and style guidelines.
