Position Overview
The Senior Administrative Professional provides comprehensive administrative and management operations support to the High Speed Systems Division leadership, including Division Chief, Branch Chiefs, and senior technical staff. The Senior Administrative Professional provides comprehensive administrative and management operations support to the High Speed Systems Division leadership, including Division Chief, Branch Chiefs, and senior technical staff. The role requires expert use of USAF standard software, adherence to security regulations, and proactive coordination of workflows, records management, and communication channels.
Key Responsibilities
- Provide administrative support for classified and unclassified materials, ensuring compliance with security protocols.
- Utilize Microsoft Office Suite (Word, Excel, Access, PowerPoint, Teams, Power BI, Outlook), SharePoint, and Adobe Acrobat expertly to create databases, spreadsheets, graphics, and other specialized documents.
- Perform data entry and manage information in systems such as Comprehensive Cost and Requirement System ( CCaR ), Automated Time Attendance and Production System (ATAAPS), AFRL Work Unit App, and Defense Travel System.
- Serve as Record Custodian: establish and maintain master files, file plans, operating instructions (OIs), and self-inspection checklists ensuring timely and accurate documentation.
- Manage and track taskers using Workflow System, Excel, and SharePoint ; assign taskers and follow up to prevent overdue items. Prepare status reports and present weekly briefings to RQH leadership.
- Create action item trackers, generate measurable charts and graphs for leadership briefings, and maintain tracking systems for deficiencies and corrective actions.
- Support document processing for Department of Defense Scientific and Technical Information (STINFO) and Defense Technical Information Center (DTIC) processes.
- Assist with FOIA requests, including line-by-line review, releasability determination, redactions, and prepublication security and policy reviews.
- Support executive meeting logistics, calendar management, travel arrangements, parking, and building access coordination for senior leaders.
- Collaborate with video conferencing managers and digital platform maintenance contractors to support virtual meetings.
- Create, edit, and reformat memorandums, correspondence, briefing slides, and internal communications; preferred familiarity with Tongue and Quill.
- Provide light writing and editorial services including script writing, internal articles, fact sheets, and success stories.
- Assist with ordering office supplies, managing inventory, and equipment procurement.
- Maintain organizational charts, recall rosters, and manning reports proactively.
- Serve as a protocol expert and provide backup support for signature packages, executive meetings, and protocol activities as needed.
Education
- Associate Degree in Business Administration, Office Management, or a related field preferred.
- Equivalent work experience will be considered in lieu of formal education.
Required Skills & Qualifications
- Minimum 10 years of relevant administrative support experience.
- Ability to obtain and maintain Secret clearance.
- Expert proficiency with Microsoft Office Suite, SharePoint, and Adobe Acrobat.
- Strong organizational, communication, and interpersonal skills.
- Experience managing classified materials and understanding security procedures.
- Ability to manage multiple tasks and deadlines effectively.
- Familiarity with military and government administrative processes and terminology preferred.
