Cape Fox subsidiary, Kwaan Tech, is seeking a highly organized and motivated Fraud Prevention Programs (FPP)/ Executive Office (EXEC) and FPP/Consular Integrity Division ( CID) Administrative Assistant 3 Specialist to join our team in support of a federal government client. This role requires strong interpersonal skills, attention to detail, and the ability to work under tight deadlines while interacting with government staff, external partners, and the public. Proficiency in Microsoft Office (especially Excel and Access), familiarity with GSD Tracker and E2 Solutions. This position is contingent upon award.

The salary range (or hiring range) for this exempt position is $80,500 to $91,500.

The above salary range represents the company's good faith and reasonable estimate of the range of possible compensation at the time of posting. In addition, we offer a variety of benefits, including company holidays, paid time off, health insurance, dental insurance, vision insurance, life and disability insurance, tuition reimbursement, as well as a 401K with company match. This job will be posted until filled or withdrawn.

Core Duties:
  • Provides administrative support while working under tight deadlines
  • Receives schedules, refers, and contacts members of staff, agency, and individuals outside the agency, ranging from other government agencies to the general public
  • Acts as a liaison to other managers and staff within the organization and provides accurate advice on procedures, reports, requirements, and other matters necessary to implement the supervisor's policies, directives, and instructions
  • Informs staff of the supervisor's views on current issues and programs
  • Performs general office support duties, including filing, maintaining, and ordering office supplies, and monitoring office equipment such as fax machines and copiers
  • Inventories basic office supplies
  • Orders office supplies using the General Services Division (GSD) Tracker and General Services Administration (GSA) Advantage
  • Maintains the Division management's schedule(s)
  • Maintains or certifies time and attendance records
  • Coordinates leave schedules for office personnel
  • Performs time and attendance functions
  • Monitors and reports on time and attendance
  • Maintains time and attendance records for commonly used pay plans and types of leave or limited special pay situations
  • Verifies the accuracy of various hours charged on Time and Attendance (T&A) reports, e.g., limited overtime, special pay, Fair Labor Standards Act (FLSA)
  • Reviews T&A reports for appropriate signatures, initials, and documentation such as medical certificates for sick leave
  • Forwards all reports to the appropriate office for processing
  • Performs general clerical, secretarial, or office support duties and/or provides direct support to an administrative area or technical program
  • Prepares briefing materials
  • Processes incoming and outgoing materials such as correspondence, reports, memoranda, and other forms of written communication
  • Edits and composes letters and reports, reviews correspondence for accuracy and completeness, prepares public presentation outlines, and develops standard or form letters in response to inquiries
  • Researches travel plans
  • Obtains airline and hotel options
  • Coordinates airline and hotel reservations when necessary
  • Creates travel authorizations and vouchers using E2 Solutions for Government staff
  • Coordinates seminars and conferences, both domestically and overseas, for the assigned office
  • Coordinates event scheduling with overseas posts
  • Coordinates administrative processes related to the operation of the assigned office
  • Coordinates arrangements for meetings and conferences
  • Assists with answering telephone calls, which includes: screening calls, taking messages, and directing calls to the appropriate office
  • Updates the office's telephone tree as needed

Job Requirements

  • Must be a US citizen
  • Must possess or be able to obtain/maintain a SECRET clearance
  • High School Diploma required, Bachelor's Degree highly preferred
  • 3+ years of experience working in an administrative position
  • Must be professional and highly motivated
  • Must have excellent interpersonal skills in proactively addressing the needs of division clients
  • Must be proficient in the use of Microsoft Office programs (especially Excel and Access)
  • Prior experience with E2 Solutions and GSD Tracker preferred
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986
