Cape Fox subsidiary, Kwaan Tech, is seeking a highly qualified Fraud Prevention Programs (FPP)/ Analysis and Targeting Division (ATD) Administrative Assistant 3 Specialist to join our team in support of a government customer. The successful candidate will be a professional, detail-oriented, and highly motivated individual with strong interpersonal skills and proficiency in Microsoft Office, particularly in SharePoint. U.S. citizenship and the ability to obtain and maintain a SECRET clearance are required. This position is contingent upon award.

The salary range (or hiring range) for this exempt position is $80,500 to $91,500.

The above salary range represents the company's good faith and reasonable estimate of the range of possible compensation at the time of posting. In addition, we offer a variety of benefits, including company holidays, paid time off, health insurance, dental insurance, vision insurance, life and disability insurance, tuition reimbursement, as well as a 401K with company match. This job will be posted until filled or withdrawn.

Core Duties:
  • Manages a library of travel document "exemplars" (physical specimens of passports, visas, and other immigration documents) for distribution to various partners
  • Keeps Exemplar cabinets organized, scans incoming stock into the database, and alerts the Division Chief when the office requires new stock
  • Manages the Exemplar email account, responds to new requests within three (3) business days, verifies the amount to send to the Division Chief, ships requested documents, and follows up with tracking information
  • Maintains familiarity with common shipping methods (diplomatic pouch, United Parcel Service [UPS], United States Postal Service [USPS]) and uses them appropriately with requestors
  • Requests and maintains shipping supplies as needed
  • Disposes of old exemplars at the Division Chief's discretion
  • Receives and ships other types of supplies as requested, such as annual shipments of driver's license guidebooks to passport agencies and centers
  • Creates copies of training materials for participants in advance of each of the office's ten (10) week-long courses
  • Helps ship training supplies to the Foreign Service Institute (FSI) in advance of each class, in coordination with the training team
  • Administers and distributes accounts for the office's main commercial database
  • Manages the database email account, responding to all requests within two (2) business days
  • Maintains an account tracking list in Microsoft Excel, ensuring all listed users currently need their accounts
  • Turns off accounts when no longer needed and scrubs the account list of unneeded accounts on an annual basis
  • Works with subject matter experts in the office to update and maintain the office's SharePoint site

Job Requirements

  • Must be a U.S. citizen
  • Must possess or be able to obtain/maintain a minimum SECRET clearance
  • High School Diploma, Bachelor's Degree highly preferred
  • 3+ years of experience working in an administrative position
  • Must be professional and highly motivated
  • Must have excellent interpersonal skills in proactively addressing the needs of division clients
  • Must be proficient in the use of Microsoft Office programs, particularly SharePoint
  • Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986
